Within the secretariat of the immunology and allergology department, currently composed of three medical secretaries, your mission is to organize and autonomously ensure the daily work related to the activities of the assistant physicians as well as the chief physicians and residents of the allergology unit.

Thanks to your interpersonal skills, you will welcome, inform, and direct patients presenting in allergology and manage the telephone calls you receive.

You organize consultations by managing the electronic agenda of the doctors and preparing patient files. If necessary, you schedule complementary medical examinations and retrieve medical reports, and you take care of allergy passports.

You also ensure the management and follow-up of insurance requests (DRM), the management of ADR AC (Berne) laboratory scheduling, the management of social coverage requests, and capillaroscopy examinations to be exported into DPI.

While responding to various requests, you successfully and autonomously carry out the administrative activities related to your function, such as the follow-up of patient files, management of mail, and electronic messaging.

You demonstrate proactivity in performing the logistical tasks arising from the life of a secretariat, such as the reception, sorting, distribution and/or follow-up of paper mail and orders, scanning and archiving of various documents.

Within the team, you develop a close link with your medical secretary colleagues (ensure continuity of service during absences) as well as with the medical care team. More generally, your sense of service makes you an agile person ready to put your versatility at the service of the institution to work in different departments according to needs.

You hold a CFC as a commercial employee and a diploma as a medical secretary, or any training deemed equivalent.

You have successful experience in a similar position within a medical secretariat.

You have a very good knowledge of IT tools (ECDL advanced certification for Word and standard for Excel), ideally also the institutional software in use at the HUG (DPA, DPI, GRECO 2, OPALE).

You have perfect command of French both orally and in writing and a proven writing ability. Medical terminology is easily understandable to you. Knowledge of English is an asset.

Possessing a good team spirit, you have the capacity to work in a shared office with several secretaries. While having a good sense of organization and priorities, you are an autonomous, rigorous, and precise person in the tasks entrusted to you.

You also possess the tools allowing you to deal with unforeseen events and thus easily manage stressful situations.

Finally, you demonstrate a keen sense of confidentiality.
